Import shipment data from a CSV or XLS file

For bulk shipment data, say 10 or more shipments, uploading the data as a CSV or XLS file is the recommended method to import shipment data.

  • If your shipment data is on a CRM or such system, export the data as a CSV or XLS file. Tune the shipment fields in the file so TrackMage can import the data.
  • If you want to build a shipment data CSV or XLS from scratch, use the sample CSV file on the UI for some guidance around the naming conventions of the shipment fields.

Irrespective of whether you are planning to import shipment data from your own CSV or XLS or planning to populate data in our sample file, the shipment fields must adhere to the conventions for TrackMage to be able to import data.

Add shipments one by one

You can upload shipments one by one if you are tracking a small number of shipments. You will need to paste shipment data field by field to TrackMage.

  • Click Add Shipment. In the New Parcel tab, add shipment data. Only the Tracking Number field is mandatory. All other fields are optional.

Prep Shipment Data File

You should ensure that the shipment data in the file can pass the Data Validation checks listed in the article to avoid running into issues during the import. There are two ways to prep the shipment data file:

Tune your shipment data file

  1. Download our sample CSV file.
  2. Rename the columns in your shipment data file to the appropriate column names in the sample CSV file. If you don't do this, TrackMage cannot read columns, and you will not see the relevant shipment fields on TrackMage

Create a shipment data file using our sample CSV

  1. Download our sample CSV file.
  2. Delete the data in the sample data row.
  3. Paste your shipment data, one shipment in a row.
  4. Delete some optional columns if you don't want to see the relevant shipment fields on TrackMage.

Import Shipments from CSV or XLS

Ensure that you've prepped the shipment data CSV as per the guidelines mentioned in the previous section of this article. Otherwise, you may see errors during import, or all shipments may not get imported.

  1. On your TrackMage dashboard, go to the Ecommerce > Shipments page.

  2. Click the Add Shipment button and then click the File Upload tab.

  3. Click the Upload box and navigate to the CSV file.

  4. Click Import.


Check Status of Import

You will see a notification in the Notifications menu soon after the import process is complete.

All shipments imported

The notification will specify that zero shipments were skipped. You can start working with the shipments right away.

Some shipments were not imported

If some shipments were not imported, the notification will specify the number of shipments that were skipped. Shipments are not imported when they don't pass the Data Validation checks listed at the top of this article.

Here's something you can do to find out which shipments were skipped.

  1. Click the Notifications icon to see the notification.

  2. Go to Ecommerce > Shipments to see the shipment data.

  3. On the Shipments page, sort the shipments by a shipment field.  and in the shipment data CSV by the same shipment field.

  4. Sort the shipments in the CSV by the same shipment field.

  5. In the CSV file, highlight the shipments that were not imported. Check why they failed the data validation checks and fix the data. 


Adding parcels toTrackMage is a pretty straightforward process. In this tutorial, we will showyou how to add parcels - or shipment if you wish to call it - manually toTrackMage. With that said, let's get into it.

Step 1. 

Log into your account. At the top right cornerof your dashboard, you’d see a TrackNumber button. Click on it.




Step 2.

Upon click, what you'd see is this. There are additional fields beneath the Tracking Number and Select origin carrier fields, but to see them you will have to click the Order Fields button. More on that later on in this section.



In the Tracking Number field box, type in your parcel's tracking number.

To find a carrier, click the Select origin carrier dropdown field. We support over 500 carriers, including big names like DHL, UPS, FedEx, and a host of others.

If you don't know the carrier company that is shipping your parcel, no worries TrackMage will automatically detect it after submission.
You can use Re-Track button to adjust the auto-detected carrier in case there's an error. You will find your parcel in the grids. 


You may wish to include additional details like email, order ID etc. to your tracking. To do that, click Other Fields



Fill out the fields accordingly. Finally, hit the Add button.

What if you have a large number of parcels, and wish to add them to TrackMage? No worries, you can do so in a breeze, provided the tracking number of the parcels are saved in a CSV or XLS file.

To do so, click on the File Upload tab. 


The next thing you will want to do is to upload the CSV or XLS file in which the tracking numbers for the parcels are stored.

To get an idea of how the tracking sheet you wish to upload should be formatted, download the sample file by clicking Get Sample File. 



If you wish, you can use this downloaded file to build up your tracking sheet by copying and pasting into relevant columns.


Once the file is ready for upload, locate it in your computer, then drag and drop it into TrackMage. If dragging and dropping doesn't work, probably, because you are using TrackMage on a mobile device, click the file icon.


This should take you to your folders. Locate your CSV or XLS file and click Open



Once the upload is finished, click the Import button at the bottom of the page.

You'd receive a success message if the import went through successfully. 


By now, the dashboard should be populated with the data you just imported. Peradventure nothing happens, refresh the page.

If there were import errors - say some rows were skipped during the import - you would see a notification. If you wish to learn more about the errors, click the notification icon.


You can import tracking numbers into TrackMage as many times as you wish. However, if you wish to import a file you had previously imported, but with updated data, TrackMage import the newly added data and update the existing records. There won't be any duplicate data created.

So, that's how you add tracking numbers to TrackMage, both manually and by uploading a file where the tracking numbers are saved.
